Before the First Clean, Get Your Commercial Cleaning Agreement Signed.

A successful commercial cleaning service starts before the team arrives. When the scope, frequency, and access arrangements are clear, everyone knows what to expect from the first visit. Getting your cleaning agreement signed gives your business and your cleaning provider a shared reference for the work ahead.

Be specific about the cleaning scope

Start with the spaces that need attention: offices, reception areas, meeting rooms, restrooms, kitchens, and shared walkways. Then describe the tasks for each area. “Clean the office” leaves room for different expectations; listing floors, surfaces, trash removal, and touchpoints makes the plan easier to follow.

Set the service frequency and distinguish routine work from weekly or monthly tasks. Confirm whether window cleaning is included and which windows are covered. For restrooms, clarify who supplies and restocks soap, paper towels, and toilet tissue. In the kitchen, agree on counters, sinks, appliance exteriors, and any separate deep-cleaning work.

Set up the practical details

Access can make or break a smooth first clean. Agree on keys or entry arrangements, alarm procedures, approved service times, and any areas that are off limits. Name a contact person who can answer questions and explain how the cleaning team should report an issue.

The agreement should also state the price, payment terms, and how extra work is approved. If an event, spill, or change in occupancy creates additional cleaning needs, both sides should know who can authorize the work before it begins. Review these details together instead of leaving them for the first service day.

Make signing straightforward

Once the details are settled, electronic signing can reduce the back-and-forth of printing, scanning, and returning paperwork. Send the agreed version to the right person, allow time for questions, and make sure both sides can refer to the completed agreement.

We use SignFinish for electronic signing and have found it gives us the best value for our money. You can find it at SignFinish.com.

The goal is a clean workplace with clear expectations. Before the first visit, confirm the service date, access instructions, and priority areas so your cleaning team can arrive prepared.
